What we collect

When you submit an RFQ, contact form, or procurement enquiry, we collect the information needed to respond: your name, company name, mobile number, optional email, delivery location, GSTIN when supplied, product specifications, quantity, urgency, and any files you choose to attach.

Essential security and enquiry processing

Essential cookies and short-lived anti-abuse tokens are used to protect the contact and RFQ forms, prevent duplicate submissions, and maintain a durable enquiry reference. These controls are required for the forms to work safely and are not used for advertising or behavioural profiling.

Optional analytics and attribution

Google Analytics 4, Microsoft Clarity, PostHog, Web Vitals reporting, click measurement, and campaign attribution load only after you select "Allow analytics". Selecting "Use essential only" keeps those providers disabled. You can review or change this choice at any time using the "Privacy choices" control on the website.

When analytics are allowed, campaign parameters such as UTM values and a Google click identifier may be retained for up to 30 days. Referrer data is minimised to the external origin and path; query strings, fragments, and same-site navigation are not stored. We do not use third-party advertising cookies.

Why we use personal data

We use enquiry data to prepare quotations, confirm stock and technical requirements, coordinate inspection and dispatch, prevent fraud, maintain legally required commercial records, and provide customer support. Optional analytics are used only to understand and improve website usefulness and reliability.

Service providers and recipients

Enquiry data may be processed by the email delivery provider and, when configured, the CRM endpoint used by our sales team. Order information may be shared with logistics providers, buyer-nominated inspection agencies, tax and accounting systems, or public authorities when required to fulfil the transaction or comply with law. Analytics providers receive browser events only after consent. RP Sales does not sell personal data.

Attachments and security

RFQ attachments are placed in private encrypted quarantine before staff can access them. Files are validated, malware-scanned, and exposed only through short-lived signed links after a clean result. Rejected files are not made available for download. Access and delivery attempts are recorded for operational and security review.

How long we keep information

Enquiry records are retained only for the active sales relationship and the documented operational retention period, normally up to 24 months after the last contact unless a transaction or legal requirement needs a longer period. Purchase, tax, and dispatch records may be retained for the statutory period. Optional analytics use the retention configured with each provider, currently targeted at no more than 14 months. Quarantined files follow the shorter attachment-retention schedule documented for the sales operation.

Your choices and rights

You may request access, correction, or deletion of personal data, withdraw optional analytics consent, or raise a grievance by writing to sales@rpsalespipes.com or calling +91 87260 50607. We respond within the period required by applicable Indian law and our grievance process. Some commercial records cannot be deleted immediately when tax, accounting, fraud-prevention, or legal obligations require retention.
